Tecomate Tours and Safaris is a responsible travel agency dedicated to promoting ecotourism in Tanzania and Zanzibar. In order to guide our practices of carrying out sustainable tourism, the following terms and conditions have been developed.
Please read these terms and conditions carefully before making a reservation with us since doing so signifies that you have understood them, and have agreed to them.
Application of our Terms and Conditions
Any booking made with us, any contract we have with you regarding your trip, and these terms and conditions all apply. These terms and conditions must always be read and accepted as a part of your contract with us and any dealings with us in order to avoid any misunderstandings.
2. Communications and documents
2.1) All company communication regarding your safari will be sent to you via our official e-mail info@tecomatetours.co.tz or our sales consultant’s alternate e-mail sales@tecomatetours.com, always corresponding to your inquiries. When we receive your inquiries, we may use the phone to communicate quickly if the circumstances allow. The phone number was +255766647659.
2.2) All documents, including your invoice, contract with us, and receipts, must be made into company documents and bear the company seal.
2.3) The company will not be liable for any losses you may incur as a result of failing to conduct business with us in accordance with the above communication procedure.
3. Reservation Processes
3.1) To guarantee that the requested trip and departure dates are available, reservations should be made as soon as possible. We will work with you to develop the ideal itinerary that satisfies your needs and preferences.
3.2) Upon confirmation and full payment of the down payment, the contract between us is deemed to have been executed. Soon after we confirm your trip, we ask for a 30% deposit. The remaining balance is due 40 days prior to the arrival date. Without a deposit, we have the right to cancel your trip.
3.3) After receiving your money, we’ll update your invoice and make the necessary reservations, including, if applicable, scheduling any domestic flights and emailing booking confirmations to lodging.
3.4) Last-minute bookings are accepted, but only if the desired accommodations are available. If preferred properties are unavailable, we will recommend alternate properties of the same level
3.5) Following confirmation, you must give all necessary information, including the children’s ages (together with their birthdates, months, and years); your full name and gender; If there are any special dietary needs, a holiday celebration, a special occasion, any medical needs, or anything else we should be aware of to make sure your reservation goes smoothly.
Should the above details not be provided, you are liable for the circumstance of improper service provision.
3.6) Clients with medical needs should notify us prior to confirmation so that we can advise how we can best meet his or her needs. If we reasonably believe that we will be unable to accommodate the specific needs, we reserve the right to decline the booking or, if full details are not provided at the time of booking, to cancel when we become aware of these details.
4. Contract
4.1) A binding agreement is made once the holiday deposit payment appears in our account unless there is already a valid contract in place between the parties. It is the signatory’s duty to see that the company gets paid in full by the deadline.
4.2) After you book with us, we will honour the contract and provide the same or even better services than promised during your leisure time with us.
5. Payment Terms
5.1) Upon our confirmation of your itinerary, we give you an open invoice for payment. A 30% down payment is required, with the remaining 70% being due 40 days prior to arrival.
With the provided information, you can make a payment online with a credit card or via bank transfer.
5.2) The client or the agent is responsible for covering any bank fees. This includes charges made by our bank for transactions. The amount on the invoice must exactly match the amount that appears in our account. We will invoice you appropriately if bank fees are subtracted from the amount we have invoiced after payment is received.
5.3) Any safari booked in less than 50 days requires full payment or a 50% deposit, with the balance due on arrival.
6. Cancellation by you
6.1) Please send us written notice if you are compelled to postpone your holiday. Unless we receive a copy of your written notice or email, we won’t cancel. This is a list of the expenses and funds.
- a) 140 – 66 days before arrival: 35% charge
- b) 65-45 days prior to arrival: 50% charge
- c) 44- 11 days before arrival: 75% charge;
- d) 10-0 days before arrival: 100% charge
6.2) We advise purchasing travel insurance so that, should a charge be covered by the policy, you can recoup the costs.
6.3) Domestic flight tickets that have already been issued will not have their cost reimbursed in the event of a cancellation.
7. Cancellation by Us
7.1) The company hardly ever cancels confirmed reservations. The organization will always try to avoid cancelling, but it has the right to do so if unexpected or unforeseen situations come up that are beyond our control.
7.2) Prior to receiving complete payment, we reserve the right to revoke your reservation at any moment. It might be due to particular events like accidents, pandemics, conflict, or insecurity.
In the event that the company must refund you as a result of its failure to perform, it will make reasonable efforts to do so. However, any reimbursement that is recoverable must be reduced by reasonable actual and potential costs incurred by the company.
7.3) If you decide to want a refund, we’ll figure out any costs incurred and any payments made to service providers. Charges, fees, and permits that have been paid to the government are all reimbursed.
8. Pricing
8.1) The costs listed are calculated using the current park entrance charge, all applicable taxes, and all inclusions. We have the right to pass along any unexpected changes to government-mandated fees and taxes to our customers.
8.2) We have a US dollar account and quote our prices in US dollars. Payments paid in US dollars are preferred.
8.3) The business maintains the right to raise the price if conditions are favourable for carrying out the safari successfully. Nonetheless, parties must coordinate well in advance.
9. Travel Insurance
9.1) All of our clients are strongly encouraged to have travel insurance that includes coverage for cancellations, medical expenses, property damage, and loss.
9.2 We regret that we are unable to reimburse you for any costs, losses, or losses-related expenses you may have suffered as a result of any cancellation. In order to make sure you are protected in such circumstances, we advise that you get in touch with your travel insurance provider.
10. Your Obligations
10.1) You are in charge of making sure you have all the paperwork and supplies you need to enter and travel through the nation of your safari choice. In order to become comfortable with the information that will serve as your guide when you begin your safari, it is advised that you seek out more guidance from your travel advisers or agencies. Any denials of entry or stays in the nation of your safari choice are not the company’s responsibility.
10.2) When booking your tour, please let us know if you have any special dietary needs or medical conditions.
10.3) It is crucial that you stay safe when on safari. To prevent danger or injury, we suggest you exercise caution and adhere to the rangers’ and the guide’s recommendations.
10.4) While on your safari, you are expected to operate in a way that won’t result in any civil or criminal penalties. If your actions make another traveller or even the ecology uncomfortable, the firm maintains the right to end your safari with that company.
10.5) Since we have no direct control over the services and security of third parties, it is your responsibility to protect your property at all times while you are at leisure to prevent inconveniences.
11. Execution of the Safari and Liability of the company.
While the company will make every effort to guarantee the success of your travel expedition and the most effective and efficient execution of all arrangements and services associated with the tour, the company does not assume liability for the following:
11.1) Unable to watch the game as requested. Although there is no direct control over the wild animals, the firm will make sure you are taken to a known place for the desired viewing, but it accepts no responsibility for any failure to view the animals as planned.
11.2) Despite careful selection, the organization does not accept responsibility for the mistakes or omissions of its suppliers. This includes hotels for your accommodations, any other third parties needed to perform the service, and any transporters that may be used to get you to your tour destinations. In the case that a third party has a complaint, we will help communicate and resolve the matter.
12. Dispute resolution and Governing law
Any disagreement resulting from a contract with the business must be first settled through dialogue and reconciliation. The parties are required to take the dispute to a recognized Tanzanian arbitrator if negotiations fail.
